The Society is inviting all members and non-members to attend our Annual General Meeting (AGM) !

We will have an overview of the society's main activities throughout the year, and discuss new and better proposals to improve our society. We must discuss our constitution as well. Only members can vote on issues discussed, and the candidates standing.

You can stand for any of the positions mentioned below (only one from the primary, but you can take on as many from the secondary positions). All positions are Part Time. For those that cant attend the meeting, write a small paragraph about what you intend to do and who you are (in case someone is standing against you), and email it to the current committee. Job sharing roles are possible (two people for the same position).

The PRIMARY list:

President
The president oversees what needs to be done, and delegates actions to the people in the committee. He has the responsibility of keeping the society going, make sure that the Students Union and the Faculty are happy.

    Must make sure with the committee that enough members have signed up before Union deadlines.
    Must help produce all the information for the website and promotional material.
    Must provide information for the weekly email to be sent to the webmaster.
    To make sure documentation for the club is completed on time and correctly including the logbook.
    Maintain a good relationship with the Student's Union.
    Maintain a good relationship with the Faculty.
    Communicate with Committee members on a regular basis and oversee individual tasks.
    Must attend Activities Council and other SU related meetings, or oversee a replacement from the committee.
    Must attend socials on a regular basis and help with set up.
    Must close down the socials properly, and guarantee that the equipment is working as it was when entered into the room.
    Organise new equipment with the Treasurer.
    Regular review and write up of budget with treasurer.


Treasurer
The treasurer makes sure that the finances to the students union on time, and keeps a record of how much mondey the society has in their student union accounts. The Treasurer is the next decisive person in line with the President.

    Must make sure with the committee that enough members have signed up before Union deadlines.
    To make sure documentation for the club is completed on time and correctly including the logbook.
    Maintain a good relationship with the Student's Union.
    Communicate with Committee members on a regular basis and oversee individual tasks.
    Must attend Activities Council and other SU related meetings, or oversee a replacement from the committee.
    Must close down the socials properly, and guarantee that the equipment is working as it was when entered into the room.
    Organise new equipment and make suggestions for budget requests.
    Regular review and write up of budget forms in lias with the Students Union.


Secretary
The secretary is seen as the central point of contact within the society. This is the person who has the power to communicate with all the people inside the society, and keeps the society running. He is the committee motivator when things get lazy.

    Must make sure with the committee that enough members have signed up before Union deadlines.
    Keeping Committee members contact details up to date
    Organising meetings and preparing the agenda to be sent to President before the meeting.
    Take minutes at meetings and e-mail them to everyone on the Committee afterwards.
    Make sure action items are completed.
    Update the logbook with President.
    Prepare the club weekly email then send to webmaster.
    To aid the President or any other Committee members with queries.
    To make sure documentation for the club is completed on time and correctly.
    Must attend Activities Council and other SU related meetings.
    Maintain a good relationship with the Student's Union.
    Must attend socials on a regular basis and help with set up.
    Must close down the socials properly, and guarantee that the equipment is working as it was when entered into the room.


The SECONDARY list:

CLAN Master
    To organize and settle Practices.
    To organize and settle competitions.
    To keep a record of CLAN(s) members.
    Forward a good up to date record of what happens with the committee and the websites.


Marketing Master
    Must produce pictures for posters for events in conjunction with the committee.
    To print the posters and reclaim funds from the union or committee.
    Must put up the posters.


Trip Organizer
    To find out good trip proposals.
    Must aim for at least one trip per semester.
    Must produce expenses and agreements ahead and inform the committee.
    To produce posters in line with the Marketing master.
    To research for further trip ideas.


Webmaster
    Must keep the website up to date with new information.
    Must be able to explain others how the website works.


Show Organizer
    Must book the rooms on time.
    To produce posters in line with the Marketing master.


We also have positions for Staff Reps, to supervise and advise us whenever we need it, and to add some level of continuity. Having several Staff Reps looks good to the Students Union, keeps our ties with the Faculty going and helps with getting better budgets whenever we need it. A good staff relationship helps with getting the publicity going. A Staff Rep has no obligations.

I would probably enjoy the position of webmaster but there are people more able to the task. Although a couple of things I would like to do would be rather radical. E.g. Scrapping the idea of a forum AND a webpage thing and just have a single forum so you don't have to worry about two sets of accounts. I would also change the phpBB forum into a SMF (Simple Machines Forum). I guess I should turn up then, that is, if I remember :O

By the way, the tech society's lan gaming is at 7:00 not 8:00 Sad

OK, lots to mention about the AGM, I just need to compile everything. What did everybody think of it? Disappointed that there were no cheerleading girls present considering how many times they were brought up ?
